Booking Terms and Conditions

Event Bookings via the UKSG Website
The terms and conditions apply to the use of the www.uksg.org website. By making a booking with UKSG you are agreeing to accept these terms and conditions.

Please note that these terms and conditions can potentially change at any time, and it is your responsibility to check them regularly before making a booking in case there are any changes. If you do not agree to accept the terms and conditions set out below, you should not use or access this website.

Member Rates
Discounted member rates are available only to staff from paid-up UKSG member organisations and to paid-up UKSG individual members. A list of current members can be consulted here.

Confirmation of Registration
UKSG will confirm receipt of a booking within five working days of submission of the online booking form. Registration details, together with a location map and an invoice, will be issued subsequently.

Payment
Payment can be made online at the time of booking by credit card (MasterCard and VISA only), following receipt of a UKSG invoice.  Payment terms are 30 days from the invoice date.

Warranty and Liability
UKSG reserves the right to alter or vary an event programme due to occurrences or circumstances beyond its reasonable control without being obliged to refund monies and it accepts no liability for any loss, inconvenience or disappointment arising therefrom.

The delegate accepts that it is their responsibility to verify that the event is suitable for their requirements and that they have the necessary level of competence to be able to achieve the stated objectives, if any, of the event.

UKSG’s liability for loss and damage shall be limited to a claim for damages. The maximum aggregate liability will be the charges for the event out of which the loss or damage has arisen. UKSG will not be liable for indirect, special or consequential loss (including but not limited to loss of anticipated profit or data/travel/accommodation costs), howsoever arising, even if it has been advised of such potential loss.

Delegates attend all events at their own risk. UKSG accepts no liability for any loss, theft, damage or injury suffered by a delegate. Delegates should ensure they have adequate insurance cover.

Cancellations
UKSG reserves the right to cancel or reschedule any event for any reason, including when an event does not achieve the minimum number of participants to render the event practicable/viable, and will advise delegates with as much notice as possible before the date of the event. Although rare, cancellations may occur at short notice due to unforeseen circumstances. UKSG will use all reasonable endeavours to avoid occurrences of this nature. When this is unavoidable UKSG will offer a full refund of the event fee, although pre-paid travel and accommodation costs and any other additional expenses incurred cannot be refunded.

Refund Policy for Training Courses and Seminars
For cancellations received up to the advertised cut-off date before the event a full refund will be given. Cancellations must be made in writing (which includes e-mail). The cut-off date will be given in the details for each event. Delegate substitutions may be made without charge up until one working day before the event.

For cancellations received up to the advertised cut-off date before the event a full refund will be given. Cancellations must be made in writing (which includes e-mail). The cut-off date will be given in the details for the annual conference. Delegate substitutions may be made without charge up until five working days before the conference.  We are unfortunately will not able to accept any on-site registrations. 

Delegate Details (Annual Conference)
Unless a delegate specifies to the contrary at the time of booking, the delegate’s name and affiliation will appear on the delegate list that will be included in the delegate packs, sent to the exhibitors before the event and posted on the event web page.

Photography/Video recording
Photographs of the proceedings as well as video recording might be made during events and used subsequently for promotional purposes.  Please speak to someone at Registration on the day of the event if you have any concerns about this.
